RR Policy 0-47 - BREACH OF CODE OF CONDUCT
OBJECTIVE:
The objective of Code of Conduct is to create a safe equal and ambiguity less work environment. The policy aims at creating a complete corporate environment which would be growth oriented and performance encouraging.
It is just as essential that employees act in a professional manner and extend the highest courtesy to co – workers, visitors, customers, vendors and clients.

OPERATING PROCESS:
Breach of Code of Conduct at any time will not be tolerated. All the acts of Code of conduct, both direct and indirect should be reported to Human Resources department as soon as possible. On the basis of the conduct so complained and the assessment of the same appropriate action will be taken.
The management along with HR department and the respective Head of the Department would have the right to call in for questioning for any or all violation of any of the policies mentioned herein under the Code of Conduct.
Based on the severity of violation, HR department will be sending a mail to the employee within 48 hours of receiving the complaint and the employee need to respond back with the clarification within 24 hours of receiving the email from HR department. Incase an employee fails to respond back with the stipulated time defined the warning letter will be issued.
The major decision-making power would be with the HR department and Head of the Department; only in matters of grave severity would it be escalated to the management.
One copy of the incident report that resulted in action will be kept in the employee's personal file, and a second copy will be kept separately in an incident file that will be reviewed during the employee’s annual review.
Based on the severity of the case the HR department will take and action.
High severity – Termination or Demotion. The action will be taken as per the decision taken by management, Head of department and HR department.
Moderate severity – Performance improvement plan or coaching and counseling.
Low severity – Verbal warning.
After making the decision HR department will be updating the details in the tracker of breach of code of conduct about the action taken against the employee. This tracker will be sent to Head of Operations on 2nd day of every month.
Employees are assured that the privacy of the complainant and the person accused will be kept confidential to the maximum extent possible.
Following acts below mentioned would also come under the ambit of breach of Code of Conduct
High Severity
Sexual Harassment.
Act of harassment, discrimination, and bullying.
Offensive/abusive conduct and/or language.
Violence to other employees.
Falsification of company records.
Theft of company property.
Intentional destruction of company property.
Unauthorized possession of firearms or weapons.
Disclosing confidential / financial information to outsider.
Being under the influence of drugs, alcohol or narcotics while on duty.
Taking or giving bribes.
Moderate Severity
Personal use of Red Road property without permission.
False expense claim.
Any major breach in IT policy, HR Policy or Company policy.
E-mail sent to personal email id of self or someone else.
Web browsing apart from anything related to your work i.e., searching jobs, searching any site which contains nudity, searching for any regional activities, terrorist activities, any criminal activities.
Low Severity
Excessive absenteeism.
Smoking in the prohibited area of the Red Road premises.
Not providing details to concern authority in approved format while entering or existing out of the office premises for long duration either for personnel or professional work.
ADDITIONAL POINTERS
Switch off the system including the UPS every day after the work.
The system should be locked when you are leaving from your desk.
The workstations are to be kept neat and clean. No official documents should be kept open on your tables unattended.
Do not leave any official document on worktable while leaving for home.
Eating food is only allowed in the cafeteria. No food is allowed on worktable.
Cafeteria tables and chairs should be kept clean and tidy. Clean the spilled food particles liquid yourselves.
Cafeteria area should be kept clean.
Though adequate water will be provided to the employees, it is expected that employees do not waste the water and whenever any leakage of water is found the same will be reported Admin Department immediately
